Facilities Director

Position Summary:
The Facilities Director is responsible for the overall facilities operations, maintenance, safety, and physical condition of two senior housing communities. The position provides hands-on technical leadership and oversight of preventive maintenance, building systems, vendors, capital projects, compliance, budgeting, and Maintenance Teams.

As a member of the Executive Team, the Facilities Director participates in strategic planning, budget development, and operational decision-making related to the communities’ physical plant and long-term facility needs. The position also participates in Board meetings and provides facility-related reports, recommendations, and updates as requested.

Key Responsibilities:
Facility Operations & Maintenance
•Perform and oversee routine, preventative, and emergency maintenance across both communities (HVAC, plumbing, electrical, carpentry, appliances, vehicles, etc.).
•Conduct regular property inspections and maintain all building systems to high standards.
•Provide training & support to Maintenance Teams.
•Ensure compliance with ADA, Fair Housing, OSHA, and other regulatory standards.
•Track and support maintenance inventory and supplies.

Preventative Maintenance Program
•Maintain and monitor a comprehensive preventive maintenance program for both properties.
•Conduct or coordinate required testing and servicing of fire alarms, emergency generators, elevator phones, emergency call systems, smoke alarms, HVAC, elevators, security systems, backflow devices, laundry equipment, and other facility systems.
•Coordinate grounds, signage, furniture, public areas, and overall property appearance.
•Maintain accurate inspection, service, equipment, and preventive maintenance records.
Vendor Management & Capital Projects
•Serve as the primary liaison for all third-party vendors and contractors.
•Solicit bids, evaluate proposals, request approval for new contracts, and oversee vendor work for contracted services (e.g., elevators, landscaping, fire panels, pest control, etc.).
•Maintain detailed service records, warranties, and vendor performance documentation.
•Support and manage capital improvements, infrastructure replacements, and long-term planning.
•Represent the organization in improvement projects and prepare recommendations for executive approval.

Team Leadership & Support
•Mentor and support Maintenance Technicians and promote a collaborative, accountable, service-oriented team culture.
•Assist in scheduling, prioritizing, and troubleshooting daily work orders as needed.
•Train team members in preventive maintenance, safety protocols, and system usage.
•Act as liaison between the Maintenance Team and Community Administrator’s to ensure alignment of goals and execution.
•Respond to facility emergencies and participate in emergency preparedness activities as needed.

Executive Leadership
•Participate as a member of the executive leadership team in strategic planning, operational decision-making, and organizational initiatives.
•Participate in the development, review, and monitoring of the annual organizational and facilities budgets.
•Develop facilities budget recommendations based on maintenance requirements, capital needs, contracts, equipment replacement, and long-term property planning.
•Monitor facilities expenditures and provide budget updates, projections, and recommendations to the Executive Director and executive team.
•Participate in Board of Directors meetings and committees as requested and present facility-related reports, project updates, budget information, and recommendations.
•Provide executive leadership and the Board with information regarding significant facility risks, major repairs, regulatory requirements, capital needs, and property conditions.
•Perform any other duties as directed by the Executive Director.

Qualifications:
• An Associate or Bachelor’s degree in facilities management, business, housing, property management, social services, healthcare administration, or a related field.
• Minimum of 5 years of progressively responsible experience in facilities management, building maintenance, property maintenance, or a related field.
• Responsibility for the ongoing maintenance, safety, repair, and overall condition of residential or commercial properties.
• Proven skills in HVAC, plumbing, electrical, carpentry, and appliance repair.
• Strong background in vendor oversight and contract management.
• Experience with maintenance software (WorxHub, Accushield, Verkada)
• Leadership experience in team supervision, mentoring, or project management.
• Excellent communication, organization, and time management skills.
• Valid driver's license and reliable transportation for inter-site travel.
• Ability to lift 50+ lbs. and work in diverse environments (heights, tight spaces, indoor/outdoor).

Preferred Qualifications:
•EPA Section 608 HVAC Certification.
•Experience in senior housing, assisted living, healthcare, multifamily, HUD Section 202/8, or affordable housing.
•Familiarity with HUD physical property requirements, ADA, Fair Housing, OSHA, and applicable life-safety standards.
